How To

Location: LEAP Menu > Reports > Operating Account > Statement of Account Receivables Ledger

Purpose: Downloads Statements of Account from the Receivables Ledger for selected matters. Statements can be generated as of a specified date for matters with outstanding balances, or across a defined period for matters with balances and/or transactions. Each statement provides details on transactions, balances, and aging information.

Downloaded statements will display receivable transactions including:

Invoices
Payments Received
Adjustments
Reversals of invoices, payments received or adjustments.

Filter:

Matters	Determines which matters appear in the Matter List for statement download: With outstanding balances – Only includes matters with an outstanding balance as of the At Date. With balances and/or transactions – Includes following matters: Matters with a balance as of the end of the specified date range (At Date), and/or Matters that have any transaction dated within the specified period (from Transactions From to At Date).
At Date	Specifies the cutoff date for the statement.
Transactions From	Defines the start date for transactions included in the statement. This filter is only active when Matters is set to With balances and/or transactions. Works in conjunction with At Date to determine the statement’s reporting period.
For	Determines the recipient displayed in the statement’s Mail To field: All Clients – Addressed to all clients on the matter. Debtor Only – Addressed to the Debtor(s) as set in the Matter Table. Debtor/Split Debtor – Addressed to multiple Debtors on the matter.
Include Draft	Includes or excludes draft invoices in the statement.

Matter List:

Show	How many results to display on one page
Matter No.	The matter number, in which the matter meets the filter’s criteria
Matter Type	The matter type
Debtor	The client card’s short name
Responsible	The staff responsible
Acting	The staff acting
Status	The matter’s status
Download	Download statements for individual matters.

Report Fields of viewed/downloaded Invoice:

Date	The date of the transaction, based on the transaction window.
Transaction No	Displays the reference number of the transaction: Invoice – Invoice number Payment Received – Payment Received number Adjustment – Adjustment number The reversals of the above three transactions – the number of the reversed transactions.
Description	The transaction's description.
Debit Amount	Displays the following debit values: Invoices and reversals of invoices – Reversals are shown in brackets. Adjustments – Includes both increases and decreases, with downward adjustments shown in brackets.
Credit Amount	Displays the credit amount, including receipts and reversals of payments received (reversals shown in brackets).
Balance	The matter’s debtor balance after each transaction.
Aging as at	Lists the outstanding invoice value based on their aging period (e.g., Current, >30 Days, >60 Days, or >90 Days). The Aging Period refers to the number of days the invoice has remained unpaid since its transaction date up to the At Date. The Aging Period will be updated based on your input for the 'At Date'. Aging Periods catetories can be customized via: LEAP Menu > Settings > Application Settings > Accounting > Reports.
Less Rtnr./Credit	The matter’s Retainer/Credit balance, as of the At Date.
Less Trust	The matter's Retained Trust Funds for Invoice/Debtor, as of the As Date. NOTE: This field only includes Retained Trust Funds allocated to this specific invoice or Debtor. It does not represent all trust funds. For a detailed explanation of different types of Retained Trust Funds, please refer to this article.
Total Due	Total outstanding balance as of the At Date.
