The E-Billing app in LEAP allows for invoice data to be exported in a number of formats that can be imported into electronic processing systems.

The available export formats are:

LEDES 1998B
LEDES 1998BI (Also known as LEDES 1998B-International)
LSS (Legal Solutions Suite)
LEDES XML 2.0

This article will explain how to configure LEAP for the requirements of a firm. For guidance of how to generate an invoice, visit Using E-Billing.

How to Enable

From the LEAP Matter List, click the LEAP Menu > Marketplace.

The LEAP Marketplace will open in a new window.
From the All Apps section, select E-Billing.
Click Enable.

Set Firm ID

For any billing export formats that include a Firm ID, this must be entered in the Firm Details.

From the LEAP Matter List, click the LEAP Menu > Settings > Firm Details.
From the General Tab, enter the Firm ID.

The Firm ID is usually the Tax ID number or Employer ID number for most billing systems.
Click OK to save the changes.

Set Timekeeper Classifications

Some billing export formats have defined timekeeper classifications. In LEDES 1998B, the timekeeper must match one of the following roles:

Associate
Clerk
Legal Assistant
Of Counsel
Other
Paralegal
Partner
Secretary

To set up the timekeeper classifications in LEAP, you will need to do the following:

From the LEAP Matter List, click the LEAP Menu > Settings > Application Settings.

The LEAP Application Settings will open in a new window.
Click Firm > under Staff > Members.

A list of your existing staff will display.
Select the required Staff member then click Additional Details.
Enter the timekeeper classification into the Qualification field.
Select Save and repeat for all staff.

Set Up Activity Codes

Time & Fees

From the LEAP Matter List, click the LEAP Menu > Settings > Application Settings.

The LEAP Application Settings will open in a new window.
Click Accounting > under Activity Codes > Time & Fees.
Click New Activity Code to add a new code or click on an existing code to edit it.
Complete the details as required.

Enter the Activity and/or Code, remembering that you can enter in the Activity Codes and Task Codes separated by “/” for example:

The Billing Description can also be entered with “/” to separate the Activity and Task Codes.
Click Save and repeat for the remaining codes.

Some of your clients may require the use of Activity Codes & Task Codes that do not correspond with the ABA Uniform Task-Based Management System (UTBMS).

To accomodate this, LEAP will use the following behavior to distinguish between an Activity Code and a Task Code:

Code Format	Export	Description
Code containing a "/" symbol (e.g. A108/L260)	Activity Code = A108 Task Code = L260	Any codes containing a "/" will treat the text prior to the "/" to be the Activity Code and the text after to be the Task Code. This will apply even for non-ABA UTBMS codes).
Standard ABA UTBMS Activity Code (e.g. A105)	Activity Code = A105 Task Code = Blank	Where the code is a standard UTBMS Activity Code, this will populate the Activity Code column regardless of the presence or absence of a "/" symbol.
Code ending with a "/" symbol (e.g. BBC12/)	Activity Code = BBC12 Task Code = Blank	If you have a non-UTBMS format that requires an Activity Code but not a Task Code, this can be achieved by ending the code in LEAP and ending it with a "/" symbol. The "/" will not appear on the exported invoice file.
Code not containing a "/" symbol (e.g. MTTX)	Activity Code = Blank Task Code = MTTX	Where only one code is entered (and the above criteria aren't met), it will be presumed to be a Task Code.

Expense Recovery

From the LEAP Matter List, click the LEAP Menu > Settings > Application Settings.

The LEAP Application Settings will open in a new window.
Click Accounting > under Activity Codes > Expense Recovery.
Click New Expense Recovery Code to add a new code or click on an existing code to edit it.
Enter the Recovery Code (Expense Code) and Billing Description.
Click Save.

Customize the E-Billing Export

Click the cog icon in the upper right of any E-Billing window.
To adjust the input used for the Description field on the export, select either Invoice Memo or Matter Description.
To alter the export format, select either LEDES 1998B, LEDES 1998BI, LSS or XML 2.0.
If the LEDES XML 2.0 format is highlighted, select the staff member at the firm who functions as the Billing Contact.
If LEDES XML 2.0 format is chosen, select whether to produce multiple invoices as either separate XML files or as a single combined XML file.
