Location: LEAP Menu > Accounting > Reports > Trust > Potential Trust to Receivables Transfer

Purpose: Lists all matters with receivables (outstanding invoice balances) and available trust monies. It is designed to help law firms identify available or potential trust monies that could be transferred to cover outstanding invoice balances. The report’s ‘Grand Total’ figures can assist law firms in assessing their overall financial health.

The results can be filtered based on Staff Responsible or Staff Acting to enhance accountability and enable targeted follow-up. Users can also choose to view ‘Matter Totals’ or add further invoice breakdowns.

Law firms must ensure trust funds are transferred with proper authority according to the relevant laws and regulations.

Report Trigger: To be included in this report, a matter must meet the following two conditions:

1. There is an outstanding invoice balance, applicable only to finalized invoices.

2. The matter has a Trust funds balance tied to the selected Trust bank account. This condition is met when the matter has a balance of 'Trust Funds Available’ OR 'Protected Funds Available' in the selected Trust bank account.

Report Filters:

Bank Account Name

Limits the results to the selected Trust bank account.

Staff

Includes the following filters that work together to refine matters, displaying only those relevant to the selected staff members in their specified capacity.

Inc. Inactive Staff: Provides an option to either include or exclude Inactive Staff Members from the lists of Staff Responsible and Staff Acting.

NOTE:

A Staff member is considered Inactive if their Current Staff Member option is togged off under the Access & Permissions in the Staff Details window (Menu > Settings > Application Settings > Firm > Staff > Members).

The below two staff lists dynamically update based on the Include Inactive Staff option setting.

Staff Responsible: Filters results to include only matters where the selected staff member(s) are assigned as the Person Responsible. All staff members are included by default.
Staff Acting: Filters results to include only matters where the selected staff member(s) are assigned as the Person Acting. All staff members are included by default.

Expand Row Groups

No: Offers a concise view by showing only a matter's total 'Trust Funds Available', 'Protected Funds Available' and invoice 'Balance due'.
Yes: Further provides an invoice breakdown and lists the Staff Responsible and Staff Acting on the matter.

Report Fields:

Matter Details	Displays the following information: The Matter Number. The client of the matter. The Matter Description.
Date	Expanding the results will display the Invoice Date.
Invoice No.	Expanding the results will display the Invoice Number.
Staff Responsible	The Staff Responsible for the matter.
Staff Acting	The Staff Acting for the matter.
Trust Funds Available	Displays the matter's current available general Trust balance, excluding uncleared amounts and Retained Trust funds.
Protected Funds Available	Display the balance of all Retained Trust funds.
	NOTE: The two Trust balances respectively align with the ‘AVAILABLE BALANCES’ and ‘RETAINED FUNDS’ figures under the Trust Funds tab of the matter, when the same Trust bank account is selected.
Balance Due	Displays the matter's total outstanding invoice balance. If the list is expanded, it will further display the balance due for each invoice. NOTE: The report only considers finalized invoices and does not consider a matter's Retainer/Credit balance.
Grand Total	Displays the following figures: Total Trust Funds Available Total Protected Funds Available Total Balance Due
