LEAP’s Estate Accounting application allows you to manage the inventory and accounting transactions for Estate Administration and Probate matters.

Note: A detailed information sheet explaining how to use this application alongside Assets & Liabilities is available at the bottom of this article.   

How to Enable

 

  1. From the LEAP Matter List, click Menu > Marketplace.

    The LEAP Marketplace will open in a new window.

  2. From the All Apps section, select Estate Accounting.

  3. Click Enable.

The Estate Accounting app works in conjunction with the Assets & Liabilities table. This table should be fully completed prior to using the Estate Accounting app.

 

It is highly recommended to keep the Assets & Liabilities screen closed while working in Estate Accounting, as changes to the latter can impact the data in the former.

Navigating Estate Accounting

 Estate Accounting is available from Estate Administration & Probate matter types.

  1. Access the Estate Accounting application from the Details & Correspondence ribbon of your matter.

  1. When the screen opens, you will see two tabs at the top of the screen for Ledger and Distributions.

    • The Ledger tab is used to track all money deposited, withdrawn, or transferred from an account belonging to the decedent.
    • The Distributions tab is used to record the distribution of the decedent’s assets.

  2. Any transactions of the relevant type will be displayed on this screen in chronological order.

  3. Clicking the Filter Transaction section will allow you to narrow the search to a specific date range or, on the Ledger tab, a specific account.

Adding Transactions to Ledger

 

  1. To add a new transaction, click the Add button in the upper right.

    Select from the three available transaction types:

    • Deposit – this allows you to record the payment received into one of the decedent’s accounts.
    • Withdrawal – this allows you to record a payment made out of one of the decedent’s accounts.
    • Transfer – this allows you to transfer money between two accounts.

  2. Enter the Date, Account, Payor/Payee, Description, and Amount of the transaction.

  3. When recording Deposits/Withdrawals, there will be a checkbox to identify when a transaction is related to the sale of an asset or the payment of a liability. This will update the values of the Assets & Liabilities table accordingly.

  4. In the case of Deposits where an asset has been sold, any associated transactions can be added by clicking Add Related Transaction and providing details and amounts.

    By default, a loan secured against Real Property will appear here when recording the sale of that property.

  5. Click Save to record this transaction or select Save & New to record the transaction and begin another.

Recording Distributions

 

To record the distribution of an asset, select the Distributions tab and click Add. There are two types of distribution available:

  • General Distribution – the distribution of an asset.
  • Cash Distribution – the distribution of money from an account.

Distribution

 

  1. To record that an asset has been distributed, click Distribution from the dropdown menu.

  2. Enter the Date of the distribution and specify the Asset being distributed. Enter a Description of the distribution, then identify who the asset was distributed to.

  3. Enter either a Percentage or Dollar amount for the distribution. If there is more than one beneficiary of the distribution, clicking Equalize Distribution will split the total distribution amount equally between them.

 The Total distributions must equal 100% of the value of the asset.

  1. Click Save to record this distribution or select Save & New to record the transaction and begin another. 

Cash Distribution

 

  1. To record the distribution of money, click Cash Distribution from the dropdown menu.

  2. Enter the Date of the distribution, which Account money was paid from, Which card from the matter the funds were distributed to, a Description, (optionally) a Check number, and the Amount distributed.

  3. Click Save to record this distribution or select Save & New to record the transaction and begin another.

Recording a Cash Distribution will automatically create an entry on the Ledger tab showing the withdrawal from the relevant Account.

Exporting from Estate Accounting

 

  1. Once all transactions are recorded, click the Export button.

  2. Select whether to export in a Microsoft Excel (xlsx) format or as a Comma Separated Value (csv) file.

  3. Download the file to a suitable location.
