Correspondence Options Explained

LEAP presents you with different Correspondence options for - Desktop, iOS or Android. Learn how to manage folders, complete searches and execute various document actions. Explore advanced features such as eSignature requests, document comparisons and PDF creation.

Correspondence List - Toolbar

 
OptionDescription
Show / Hide Navigation PaneShow or hide your correspondence folders and sub-folders and navigate using either the folder line or folder panel.
New FolderCreate a new folder in your Correspondence List.
HomeGo to root folder of the matter.
Search CorrespondenceSearch your matter correspondence. See Searching for a Document for more information.

Correspondence List - Type and Date

 

You can filter your correspondence list by using the Type filter and Modified Date or Created Date.

TypeDescription
(Any Type)View all types of correspondence.
CommentsView only comments.
DocumentsView only documents (Word, PDF, Excel).
EmailsView only emails.
SearchesView only legal searches.

Folders will always be shown regardless of the Type selected.

Correspondence List - Quick Actions

 

Hover over a correspondence item and click the quick action:

OptionDescription
Request SignatureRequest eSignature for the document selected.
Pin to Top/Unpin from TopMove the selected document to the top of your Correspondence List or remove the selected pinned document from the top of your Correspondence List and return it to its original position in the current sort order.
Share/Manage LawConnect AccessShare or manage your correspondence securely using LawConnect.
PreviewOpen the document in the Correspondence Preview.

Correspondence List - Right-click Options

New
  • Folder - Create a new folder to organize your documents.
  • Letter - Opens the Create Letter window for you to Select Recipient.
  • Email - Opens a New Email in Outlook.
  • Comment - Create a New Comment.
  • Document from Forms & Templates - Opens the Forms & Templates window.
  • More Document Types - Open the Create Document window for you to Select Document Type.
Import DocumentImport a document from your computer into the matter.
PastePaste the copied document from the clipboard to the matter.

Correspondence Items - Right-click Options

 
OptionDescription
OpenOpens the selected document for you to view or make changes.
Open and UpdateOpens and updates the selected PDF for you to view or make changes.
PreviewOpen the selected document in the Correspondence Preview.
PrintPrints the selected document from your default printer.
Sort Folder NumericallySort documents inside the selected folder numerically.
Sort Folder AlphabeticallySort documents inside the selected folder alphabetically.
Move
  • Move to Folder - Move the document or folder to another folder.
  • Move to another Matter - Move the document to another matter and have the option to rename it.
Share
  • Securely via LawConnect - Share your document(s) with other people associated with the matter using LawConnect.
  • Manage LawConnect Access - Only available if the document is already shared via LawConnect.
  • Request eSignature - To request an eSignature for a supported document.
  • Send via Teams - Share your document via Microsoft Teams with other staff members.
  • Email Original - Create a new email attaching the selected document in its current format.
  • Email PDF - Create a new email with the selected document attached as a PDF.
  • Email Link - Create a new email to internal staff members that contains a link to the selected document.
  • Fax - Send the selected document as a fax.
Attach to TaskAttach the document from the Correspondence List to a task in Outlook.
Export DocumentSave the document(s) to a local folder on your computer. Hold Ctrl and select multiple in the Correspondence List to export in bulk.
Pin to Top/Unpin from Top

Move the selected document to the top of your Correspondence List or remove the selected document from the top of your Correspondence List.

The pinned document is identified with an orange pin.

Compare DocumentCompare two documents within or outside of LEAP for changes.
DeleteDelete the selected document or folder from the matter.
RenameRename the selected document or folder.
Replace Default Reference

Change the default reference for the selected document to be someone else involved in the matter and not necessarily your client.

You can change the recipient, their details and all references to them, throughout the document to someone else involved in the matter. All fields referencing the recipient will be updated.

Create PDFCreate a PDF version of the selected document.
Update PDFUpdate a combined PDF without the need to recombine when one or more documents have been amended.
New
  • Folder - Create a new folder to organize your documents.
  • Letter - Opens the Create Letter window for you to Select Recipient.
  • Email - Opens a New Email in Outlook.
  • Comment - Create a New Comment.
  • Document from Forms & Templates - Opens the Forms & Templates window.
  • More Document Types - Open the Create Document window for you to Select Document Type.
Import DocumentImport a document from your computer into the matter.
DuplicateMake an exact copy of the selected document. The only difference between the two copies is the creation date and possibly the staff member who duplicated it. The copy should be renamed to avoid confusion.
Shortcut to CardCreate a shortcut of the document to one of its related cards.
Copy to CardCopy the document to a card.
Copy to Safe CustodyCopy the document to Safe Custody.
Cut

Remove the document from its current matter and place it into the clipboard.

The document will be marked in grey.

CopyCopy the document from its current matter and place it into the clipboard.
PastePaste the copied document from the clipboard to the matter.
History of ChangesView version history of the document.
LawConnect
  • View Shared Items - View items that have been shared via LawConnect in the current matter.
  • Link Matter - Link an item to LawConnect. A new "Shared By <Firm Name>" folder will be created and any new documents will automatically be shared and stored in this folder for the current matter.

Legal Search - Right-click Options

 
OptionDescription
View Search Order OfflineView the order you placed for a search.
Mark as 'Opened'/Mark as 'Unopened'Toggle read/unread status of the search.
PropertiesView the properties of the actual search, i.e., date ordered and completed, cost and status.

Correspondence Options

 
TasksDescription
Search for a correspondenceEnter your search criteria in the Search field.

Sort your Correspondence listClick the column headings to sort the list in ascending or descending order.

You can also filter your correspondence by correspondence 'type'.

Display deleted correspondenceClick User-added image in the column heading row and select to Show Deleted correspondence items. Deleted items are shaded grey.
To hide your deleted correspondence for the matter, click User-added image again and select Show Deleted to untick the option.
Folders in your Correspondence ListIf you have a number of correspondence folders and you access an item within a folder. The folder structure displays below the Search text-box enabling you to navigate back to the top level of your Correspondence List.

You can also click More options icon on an item in the Correspondence List.

Open
  • Open in Word - Open the selected document for you to view or make changes via Word.
  • Open in Word Online - Open the selected document for you to view or make changes via Word Online.
Preview Open the selected document in another window so that you can view it.
DownloadDownload a copy to the correspondence item to your local machine.
Move to FolderSelect the folder you wish to move the correspondence item to and then click Move.
Share
  • Share via LawConnect - Share your document(s) with other people associated with the matter using LawConnect.
  • Manage LawConnect Access - Update access to the shared document. Only available if the correspondence item is already shared via LawConnect.
  • Email as PDF - Open a New Email with the selected item as a PDF.
Pin/UnpinMove the selected item to the top of your Correspondence List. The pinned item is identified with a orange pin in the top left-hand corner. Remove the selected pinned item from the top of your Correspondence List and return it to its original position in the current sort order.
DeleteDelete the selected document or folder from the matter.
Rename Rename the selected document or folder.
Create PDFCreate a PDF version of the selected document.
Duplicate Document Duplicate/create a copy of the selected docuemnt.
Extract AttachmentAttachments will be saved to the Correspondence List separate to the email.

Right-click on an email correspondence item to extract attachments.

Correspondence Actions

 
OptionDescription
New LetterSelect the appropriate recipient for the new letter on the right-hand panel of the New Letter window.
Click Create or Create with Office Online.
The new letter will open in Microsoft Word with the selected recipients details already entered so that you can complete the body of the letter.
New DocumentSelect the Document Type you want to create and if required, the recipient and then click Create or Create with Office Online.
New EmailComplete and send the email to your client.
Forms & PrecedentsSearch or browse to the form or precedent you want for the selected matter type.
New CommentPlace your cursor in the body of the New Comment window and enter your comment using the formatting options on the toolbar as required.
Click User-added image on the toolbar to include a date and time stamp to your comments.
When you're finished, click Save.
UploadSelect the document(s) you wish to upload into your LEAP Matter, press Open and then Upload.
New FolderA new folder will appear at the beginning of the Correspondence list.
Enter the name of the new folder and press Enter.
Move correspondence items into the folder.
Create PDFConvert one or multiple documents into PDF.
Share DocumentShare documents using LawConnect.

Microsoft Teams Actions

Send DocumentShare the selected document with an internal staff member.
Send MatterShare the matter with an internal staff member.
Callback RequestSet up a callback request about the matter with an internal staff member.

From the matter Correspondence tab, tap User-added image next to any item on the list orwhen in preview mode and then:

TapTo
ViewOpen the selected document so that you can view it in preview mode.
Share

Share the selected document via LawConnect.

Pin/Unpin

Move the selected item to the top of your Correspondence list. The pinned item is identified with an orange pin.

Remove the selected pinned item from the top of your Correspondence list and return it to its original position in the current sort order.

Info

View document infomation as well as the History of Changes.

Open in Word

Open the selected document for you to view or make changes via Word. See Creating a Document/Letter for a Matter for more information.

This is also available for Microsoft Excel spreadsheets and Microsoft PowerPoint presentations.

Move to Folder

Move the document in or out of any folder within the matter.

Tap, hold and drag an item to move it into a folder in the list.

PrintPrint the selected document from your default printer. See Printing Documents with LEAP Mobile for more information.
RenameRename the selected document or folder.

EmailCreate a new email. Tap User-added image in the To field and select from one of the Contacts options. Attach item(s), complete the email and tap Send.
You can attach more than one item to the email. To include attachments, User-added image:
  • Tap User-added image to attach documents from your Correspondence list for the matter.
Tap the item(s) you want to attach and and tap Done.
  • Tap User-added image to attach an image from your photo library.
ImportImport photos & videos from your photo library as well take photos & videos with your device's camera. See Importing Photos and Videos into LEAP Mobile for more information.
ScanScan your documents using your device's camera. See Scanning Documents to LEAP for more information.
New CommentCreate a new comment for the matter.
  1. Enter your comments and tap User-added image to enter a time/date stamp to the comment.
  2. Tap Save in the top right-hand corner.

EmailCreate a new email.
  1. Tap the To field and enter your email address or tap User-added image to select the email details from a card, your device or people associated with the matter.
  2. Attach item(s), complete the email and tap Send.
You can attach more than one item to the email. To include attachments, User-added image:
  • Tap User-added image to attach documents from your Correspondence list for the matter.
Tap the item you wish to attach and it will display on your screen for you to view. The Attach options varies depending on the file format.

You can also select multiple items and then tap Attach in the top right-hand corner.
  • Tap User-added image to attach an image from your photo gallery.
