Inserting Legacy Fields into Documents/Templates

When generating a template in LEAP, all the information you've entered is merged into the document using field codes. The advantage of this is that when you make a change in your matter, the changes are automatically reflected in the document.

  • Desktop

Getting Started

 

Make sure that your Microsoft Word settings allow for Fields to be shaded.

  1. Open Microsoft Word.

  2. Click on File > Options.

    The Word Options will open in a new window.

  3. Click the Advanced tab.

  4. Scroll down to Show document content section.

  5. Change Field Shading to either:

    • When selected: highlight the field when selected; or
    • Always: always highlight all fields.
  6. Click OK.

Inserting Legacy Fields in a Document/Template

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Open or create a Word document from the matter.

  4. From the LEAP ribbon, click Editing > Insert Legacy Fields.

    A list of available fields will display on the right-hand side of the document.

  5. Make sure you're on the Field > Insert Field tab.

  6. Use the Search Fields to search or filter the list to the field(s) you desire.

  7. Click the drop-down list to select the relevant Table Type that you wish to insert fields from.

  8. Tick the Show hidden fields checkbox if required.

  9. Place the cursor in the document where you wish to insert the field.

  10. Select the field you wish to insert.

  11. Click Insert.

    The selected field will be inserted at the cursor's position in the document with information populated based on the matter.

When modifying an existing template, it is recommended to insert the fields within the Body bookmark as any other position, the field(s) will be overwritten by the document template.

Do not attempt to insert fields into the Header, the Address, the Footer or the Re line.

Formatting Fields

 

Fields can be formatted within your documents/templates. For example, you may wish to change how the date is displayed or if the text is capitalized or not.

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Open or create a Word document from the matter.

  4. Highlight the field you wish to format.

  5. From the LEAP ribbon, click Editing > Format Fields.

    The LEAP Format Fields will open in a new window.

  6. In the Field Type section, select the relevant type you wish to format.

  7. In the Format section, select the relevant format you wish to use.

  8. Click OK.

Toggle Fields

 

Using this function can assist in understanding which data is being inserted from LEAP. For instance, if the document is missing information, you can toggle fields to check if the document is using the appropriate fields.

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Find and open the document you wish to toggle the field codes.

  4. When the document is opened:

    • from LEAP ribbon, click Editing > Toggle Fields; or
    • Alt + F9 keys

Ask and Ask Result

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Open or create a Word document from the matter.

  4. From the LEAP ribbon, click Editing > Insert Legacy Fields.

    A list of available fields will display on the right-hand side of the document.

  5. Click the Ask tab.

  6. Enter the name of the Bookmark (one word) which will be for your reference only (this helps you insert the field to the locations you want in your document).

  7. Enter the question in the Prompt field.

  8. Enter the Default Answer.

  9. Place the cursor in the document where you wish to insert the Ask field.

  10. Click Insert.

  11. Click the Ask Result tab.

  12. Select the Bookmark.

  13. Place the cursor in the document where you wish to insert the Bookmark's answer.

  14. Click Insert to insert the Bookmark's answer.

Fillin

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Open or create a Word document from the matter.

  4. From the LEAP ribbon, click Editing > Insert Legacy Fields.

    A list of available fields will display on the right-hand side of the document.

  5. Click the Fillin tab.

  6. Enter the question in the Prompt field.

  7. (Optional) Enter the Default Answer.

  8. Place the cursor in the document where you wish to insert the Fillin field.

  9. Click Insert.

If, Then, Else

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Open or create a Word document from the matter.

  4. From the LEAP ribbon, click Editing > Insert Legacy Fields.

    A list of available fields will display on the right-hand side of the document.

  5. Click the If.. Then.. Else tab.

  6. By default, Field will be selected.

    Select Fillin or Ask if you wish to use those instead of Field.

  7. Click Select.

    The LEAP Find Field will open in a new window.

  8. Find and select the field you wish to use.

    Tick Include hidden fields if necessary.

  9. Click OK.

  10. Select a Comparison from the drop-down list.

    • Equal to
    • Greater than
    • Greater than or equal
    • Is blank
    • Is not blank
    • Less than
    • Less than or equal to
    • Not equal to
  11. Enter the condition text/value under the drop-down list.

When working with text in the context of any of these parameters, please note the space, character, and case sensitivity. Any deviation from the specified data-entry will cause your True condition to fail.

  1. Specify the data to populate given that the above condition is met, or True.

    If you need to insert a large amount of text given the condition is true, best practice is to write the word True as a placeholder.

  2. Specify the data to populate given that the above condition is not met, or False.

    If you need to insert a large amount of text given the condition is true, best practice is to write the word False as a placeholder.

  3. Place the cursor in the document where you wish to insert the If.. Then.. Else field.

  4. Click Insert.
