Creating a Trust Payment Received

Trust Payments Received refers to client funds received into a firm's trust account. Learn how to create, reverse and clear Trust Payments Received in LEAP.

Create a New Trust Payment Received

 
  1. Open the matter.

  2. Click the Trust Funds > Trust Accounts tabs.

  3. Click Receive Payment on the toolbar.

 
 

If you have multiple templates, the Select Template window will open. Select the template you want to use, then click Select.

  1. The default Bank Account is used. If you want to use a different account, click User-added image and select one from the list, then click Select.

  2. Enter or select the client the payment is Received From. Type directly into the textbox or click User-added image to choose the person the Card List, then click Select.

  3. Enter a Reference No. if you are not using automatic sequential numbering.

  4. Enter or select a Transaction Date if it's different from the current date.

  5. The Entry Date will always display the current calendar date and can't be changed.

  6. Choose a Payment Type by clicking User-added image and choosing an option from the list, then click Select.

    Once you have chosen the Payment Type and depending on your selection, you may want to enter the Payment Type Details which may automatically display for you to complete. If not, click User-added image and complete the bank account details fields. Click OK.

 
 

If the Payment Type is either Check or Cash, you can save time by preparing the Bank Deposit at the same time as saving the payment.

Click the drop-down arrow next to the Save & Close button and select Save & New Bank Deposit.

  1. In the first row of the table, click the Matter No. cell. The current matter number will display. If you want to apply the payment to another matter number, click User-added image to choose another matter.

  2. Click the Reason cell to type a description in the textbox that appears.

  3. Enter the Amount.

  4. To enter a payment for multiple matters, enter each matter on a new line in the table.

  5. (This is optional) Click User-added image on the toolbar to print the payment once it's been saved.

  6. (This is optional) Click on the toolbar to email the payment once it's been saved.

  7. Click Save & Close.

    The payment will be recorded in the matter under the Trust Funds > Trust Accounts tabs.

Reverse a Trust Payment Received

 
  1. Open the matter.

  2. Click the Trust Funds > Trust Accounts tabs.

  3. Open the payment.

  4. Click User-added image on the toolbar.

  5. Edit the Reason, if required.

  6. (This is optional) Click User-added image on the toolbar to print the reversal once it's been saved.

  7. (This is optional) Click on the toolbar to email the reversal once it's been saved.

  8. Click Save & Close.

    The reversal will be recorded in the matter under the Trust Funds > Trust Accounts tabs.

Clear a Trust Payment Received

 
 
 

A payment can be cleared in LEAP when the funds are cleared in the bank account but aren't yet available in the matter.

  1. Open the matter.

  2. Click the Trust Funds > Trust Accounts tabs.

  3. Open the payment.

  4. Click User-added image and select Check Cleared.

  5. Click Save & Close.

Insufficient security permission to create this transaction

 

You may experience an error message "Insufficient security permission to create this transaction" when creating a new trust payment/receipt, your LEAP administrator will need to update your user permissions. Here are the steps to follow:

  1. In the Matter list window, go to LEAP Menu > Settings > Application Settings > Staff > Staff Members Page will load.
  2. Select the relevant staff member and open their contact details. Click on the Access & Permissions tab, then click Edit Security Details.
  3. In the Staff Security Details page for that staff member, you'll see various tabs. Click on General Trust, where you'll find multiple options that can be checked or unchecked.
  4. Adjust the user’s permissions as needed, ensuring that All Other Transactions is enabled.
  5. Click Save in the bottom right corner to confirm the changes.

  • In LEAP, historical items are represented as read-only transactions. These transactions cannot be deleted/reversed or altered in any manner.
  • To reverse or cancel a historical transaction, you will need to create the opposite transaction for the same amount within LEAP. For instance, if you're reversing a Trust Payment received, you should create a Trust Payment paid, or vice versa.
  • When recording such transactions, make sure to enter the reason as "Reversal of (Transaction No.) History Item."

Create a New Trust Payment Received

 
  1. Open the matter.

  2. Hover over the Trust Funds tab and click Trust Accounts.

  3. Click Receive Payment under Actions to open the Trust Account Receive Payment window.

  4. The default Bank Account is used. If you want to use a different account, select one from the drop-down list.

  5. By default, the Received From field displays the current matter client's name and address. Click User-added image to change it from the window. You can also directly type a name and address into the Received From textbox by deleting the existing information then entering the new details.

  6. Select a Payment Type from the drop-down list. Once a payment type is selected, the Payment Type Details window displays.

    Complete the relevant information in the window and click Add. If you need to change any of the payment type details at any stage, click User-added image.

  7. Enter a Reference No. if you are not using automatic sequential numbering.

  8. By default, today's date is entered in the Transaction Date field. Click User-added image to select a different date, if required.

  9. The Entry Date is always today's date and can't be changed.

  10. Enter a Reason.

  11. Enter the Amount.

  12. If the payment is to apply to a number of different matters, click New Line and select another matter and complete the rest of the details.

  13. (This is optional) Toggle the Print/Email option On to print or email the payment once it's been saved.

  14. Click Save.

    The payment will be recorded in the matter under the Trust Funds > Trust Accounts tabs.

Reverse a Trust Payment Received

 
  1. Open the matter.

  2. Hover over the Trust Funds tab and click Trust Accounts.

  3. Open the payment.

  4. Click Reverse at the bottom of the Trust Account Payment Received window.

    The window will change to Trust Account Reverse Payment Received.

  5. Edit the Reason, if required.

  6. (This is optional) Click Print/Email to print or email the reversal.

  7. Click Save.

    The reversal will be recorded in the matter under the Trust Funds > Trust Accounts tabs.
