Adding Critical Dates

Track and manage important dates using Critical Dates in LEAP. This feature ensures timely updates and status changes for matters, appointments, meetings, and tasks.

Overview

 

Critical Dates and Appointments are listed in the left-hand section of the Calendar & Tasks tab of a matter.

The Critical Dates and Appointments list has been designed to easily display matter related appointments, meetings, and tasks, with visible labels to display any Microsoft Teams or Zoom meetings.

Some dates will need to be ticked off in the last column before a matter can progress. For example, the Closing Date on a residential purchase matter must be ticked before it can be archived.

You can enter all the Critical Dates relevant to your matter by selecting the date from the calendar or manually entering the date in the Date column.

Changing your Critical Dates can affect the status of the matter. For example, when the closing for a residential purchase matter is delayed, the Closing Date will need to change. So potentially the status of the matter may change from completed to in progress.

Add Critical Dates to Your Microsoft Outlook Calendar

 
  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. Right-click the selected Critical Date in the list and select Create Appointment for Critical Date.

  4. After synchronizing the Critical Date to your Microsoft Outlook calendar, you're able to Refresh, Delete or Detach the appointment from the Critical Date or postpone the appointment using the right-click options.

If the date of the Appointment is changed by another staff member, you will get a notification in the Notifications window.

 

The Notifications window can be opened at any time by clicking  at the top of any matter or Matter List.

 

Once you open the matter, an Out of sync appointments window will pop-up. Click Update Outlook to automatically change the Appointment in your Outlook Calendar.

 

Additionally, a notification screen will notify you if any changes have been made to Critical Dates by LEAP since your firm last accessed a matter. You will have the option to choose how this notification window will appear for future changes.

Different matter types offer different critical dates. For example, the "Adjustment Date" option is not available in the Proposed Sale matter type, but it is available in the Sale matter type.

Critical Dates Dimmed When Passed

 

Once a Critical Date has passed, that date will become dimmed. This is a visual indication for you that the Critical Date is overdue. You're still able to manipulate and use the critical date as you normally would.

Critical Dates are essential dates used to track and confirm important dates and events, and update the status of matters. Different matter types will require specific critical dates.

All Critical Dates (except Engagement Date) will by default appear under the Unscheduled > Critical Dates column on the right-hand section of the Calendar & Tasks tab of a matter with no date set.

Add Critical Dates to Your Calendar & Tasks

 
  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. Click a Critical Date under Unscheduled > Critical Dates.

  4. Select a date. 

    The Critical Date will now appear under the Scheduled column on the left-hand section of the Calendar & Tasks tab.

Select  under Scheduled to view all past events.
Select or  under Unscheduled to view in List or Tab views respectively.

Confirm or Unconfirm Critical Dates

 
  1. Make sure  is selected.

  2. Click a Critical Date under Scheduled.

  3. Toggle Confirm to On or Off.

Once a Critical Date has passed, that date will become dimmed until you Confirm it. This is a visual indication for you that the critical date is overdue.

To clear the date of a Critical Date, click a Critical Date and select Clear in the bottom left-hand corner.

  1. Open the matter.

  2. Swipe to or tap the Schedule tab.

  3. Tap between Scheduled, Unscheduled and Tasks.

    Tap to Filter the list by Type.

Confirm or Unconfirm Critical Dates

 
  1. Tap an item to view its details.

  2. Toggle Confirm to On or Off.

  3. Tap Save.

You must first link your Microsoft 365 email account on the LEAP Mobile app. For more information, click here.

  1. Open the matter.

  2. Swipe to or tap the Schedule tab.

  3. Tap between Scheduled and Unscheduled.

  4. Tap on a Critical Date to open. e.g. Completion Date.

  5. Tap Create Appointment.

  6. Fill in the details of the appointment.

  7. Tap Save.

Confirm or Unconfirm Critical Dates

 
  1. Tap an item to view its details.

  2. Toggle Confirm to On or Off.

  3. Tap Save.
