Creating a New Email

 Learn how to create, edit and manage your emails on LEAP Desktop, Web and Mobile. Perform various actions to enhance your correspondence workflow across multiple devices.

Create an Email

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click New Email or click the User-added image at the top left-hand corner of the window.

    Microsoft Outlook will open a new email, listing contacts from your address book and those associated with the matter.

Only Cards that have an email address will be listed. When sending an email from a matter that has an organisational card, only staff members relevant to the matter are listed.

  1. Select the appropriate contacts for the To, CC and BCC fields.

    To add other contacts to the email, click Matter Contacts under the Message tab and select the appropriate people for the email.

  2. Attach documents if needed. See Attaching Documents from a Matter to an Email section for more info.

  3. When you are done, click Send or Time & Send to send the email and open a New Time Entry.

    The email will display on the Correspondence List of the matter and marked as Sent.

Create a Draft Email

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click New Email or click the User-added image at the top left-hand corner of the window.

    Microsoft Outlook will open a new email, listing contacts from your address book and those associated with the matter.

Only Cards that have an email address will be listed. When sending an email from a matter that has an organisational card, only staff members relevant to the matter are listed.

  1. When you are done, click Save Draft & Close.

    The email will display on the Correspondence List of the matter and marked as Draft.

  2. To continue working on the Draft email, simply double-click to open it.

Attach Documents from a Matter to an Email

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click New Email or click the User-added image at the top left-hand corner of the window.

    Microsoft Outlook will open a new email, listing contacts from your address book and those associated with the matter.

  4. Select the recipients of the email and click OK.

  5. Click Insert File on the LEAP Add-in under the Message tab.

    The Share Correspondence will open in a new window.

  6. By default, you should be on the LawConnect Sharing option.

    If not, click the Elipses icon in the top right corner to access the Attachment options.

    • Select “Basic attachment (not recommended)” to have the attachment/s sent directly from your email, instead of using LawConnect's secure platform.

    • If you wish to set “Basic attachment (not recommended)” as the “Default” attachment option, click Elipses again and select “Set as default”.

  1. Select or search for the documents you wish to attach from your matter's Correspondence List.

  2. Select your Share As option:

    • PDF (Restrict Editing)
    • PDF
    • Original Format
  3. Click Insert.

Note: The default attachment option will revert back to 'LawConnect' as the sharing type whenever LEAP Helpdesk/IT performs LEAP repairs (including updates). Follow Step 6 above on how to set a new default.

Remove an Email from a Matter in LEAP

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Select the email you wish to remove from the Correspondence List.

    This will launch the email.

  4. In the Outlook email ribbon, click Matter #Matter No. (where #Matter No. is the matter number of the email was saved) under Message tab.

  5. Select Remove from Matter and click Yes on the confirmation message.

    The email will be removed from the Correspondence List of the matter.

  6. Save the email to the matter desired.

If are unable to open one particular email from a matter, you can follow the steps above to Remove an email from a Matter in LEAP and then Save to Matter once again.

Remove an Email from a Matter in Microsoft Outlook

 
  1. Open Microsoft Outlook.

  2. Open an email that has already been assigned to a LEAP matter but that you wish to remove.

    The email may be located in the Inbound LEAP Matter Based Emails folder nested under Inbox.

  3. Click Matter #Matter No. (where #Matter No. is the matter number of the email was saved) under Message tab.

  4. Select Remove from Matter and click Yes on the confirmation message.

    The email will be removed from the Correspondence List of the matter.

Save an Email Attachment to a Matter

 
  1. Open the email from Microsoft Outlook.

  2. Right-click on the e-mail attachment and select Save Attachment to Matter.

    The LEAP Save to Matter window will open.

  3. Search and select the matter you wish to save the email attachment to.

  4. (Optional) Click Select Folder to save the email attachment to a specific folder within the matter.

  5. Click Select.

You can also Save and Rename Attachment to matter and Save All Attachments to Matter if there are multiple email attachments.

Extract an Email Attachment to a Matter

You can expand or collapse all email attachments within a matter.

Click and select Email Attachments > Expand, Collapse or Expand for Today's Emails.

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Search and select the email with the attachment that you wish to extract from.

  4. Right-click the email attachment and select Extract Attachment to Matter.

Email a Document Link to Internal Staff

 
  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Search and select the document you wish to share a link.

  4. Right-click the document and select Share > Email Link.

    The Staff List window will open.

  5. Select the staff member(s) you wish to share the document link to.

  6. Click Select.

    A new email will open in Microsoft Outlook.

  7. The selected staff(s) email addresses will appear in the To field with the document link as an email attachment.

  8. Make the necessary edits to the email Body as required.

  9. Click Send. The sent email will be visible in your Outlook Sent Items folder.

Delete an Email from Outlook

 

Please note that when you delete emails from your Outlook account, specifically from the Outbound and Inbound LEAP Matter Based Emails folders, it will remove them from your Outlook account but not from the LEAP matter. The emails will still be retained in the Correspondence List of the matter within LEAP.

Please ensure that you have linked your Microsoft 365 email account and LEAP in order to use the email feature. For instructions on linking your email account, please click here.

  1. Open the matter.

  2. From the Details & Correspondence tab, select New Email in the Actions pane on the right.

    The New Email window will open.

  3. Click on the To, CC buttons to select the appropriate contacts for the email.
    The 'Select Email' window will open for you to select the recipient.

  1. To add an additional BCC field, click the BCC button at the top of the 'New Email' window.

  2. To add other contacts to the email, click the button and select either All Lists, Current Matter, Staff or Outlook from the drop-down list.

  3. The Email Subject will be prefilled with the Mater Type. You can edit this by clicking in the field.

  4. Complete the body of the Email.

  5. Attach documents if needed. See Attaching Documents to an Email section for more info.

  6. Click Send.

The email will display on the Correspondence List of the matter and be marked as Sent.

Attaching Documents to an Email

 
  1. From the New Email window, click the Attach button and select Upload from Computer.

    File Explorer will open allowing you to search for and select the document you'd like to attach.

  2. Select the file you'd like to attach and click on Open.

    It is possible to add multiple attachments at a time, holding down the Ctrl key and clicking on the items to attach.

  3. All attached items will display in the 'Attachments' field and can be removed by clicking the X to the right of each attachment.

Adding Your Email Signature

 
  1. From the New Email window, click the Signature button and select New Signature.

    The Email Signature window will open.

  2. Create/Modify the Signature that you'd like to include in the body of the email.

  3. You can Upload an existing signature image that you'd like to use or a graphic of your choice by clicking theicon.

  4. Insert a link into a section of Text by highlighting the text area and clicking the icon.

    • The Enter link window will open for you to complete the URL for the link.
    • Click Save.
  5. Toggle Auto include on new emails on or off if you'd like to use this signature on all new emails.

  6. Click Save.

Your Email signature will appear on the body of your email. If you want to make changes to the email signature, click the Signature button at the top of the 'New Email' window, and select Edit Signature.

Create an Email

 
  1. Open the matter.

  2. Tap User-added image > Email.

  3. Enter the email addresses for the To, Cc and/or Bcc fields.

    To add other contacts to the email, tap User-added image in the To, Cc or Bcc fields and select from one of the Contacts options.

  4. Enter the Subject of the email.

  5. (Optional) Tap User-added image  to attach images from your photo library.

  6. (Optional) Tap User-added image to select documents from your matter.

  7. Tap Send.

Create an Email

 
  1. Open the matter.

  2. Tap User-added image > Email.

  3. Enter the email addresses for the To, Cc and/or Bcc fields.

    To add other contacts to the email, tap User-added image in the To, Cc or Bcc fields and select from one of the Contacts options.

  4. Enter the Subject of the email.

  5. (Optional) Tap User-added image  to attach images from your photo library.

  6. (Optional) Tap User-added image to select documents from your matter.

  7. Tap Send.

Create an Email

 
  1. Open the matter.

  2. Swipe to or tap the Correspondence tab.

  3. Tap User-added image > Email.

  4. Enter the email addresses for the To, Cc and/or Bcc fields.

    To add other contacts to the email, tap + on the right of To, Cc or Bcc fields and select either from selected Matter, Cards List or from your device.

  5. Enter the Subject of the email.

  6. (Optional) Tap to attach files or images from your device.

  7. (Optional) Tap to select documents from your matter and tap Attach.

  8. Tap Send.
