Application Settings - Invoice

Desktop: Click the LEAP Menu > Settings > Application Settings.

The LEAP Application Settings will open in a new window.

 

Web: Click User-added image > Settings > Application Settings.

The LEAP Application Settings will open in a new window.

General

 
  1. Click Accounting > under Invoice > General.

  2. With invoice terms, you can specify the due date of an invoice. If an invoice goes past its due date, LEAP allows you to charge interest on the overdue amount.

    Enter the number of days for an Invoice Term.

  3. Enter the Late Fee Interest Rate percentage. 

    Once the invoice terms have been set, the Due Date on an invoice will be automatically filled.

  4. A new invoice preference has been introduced for Not Billable time entries to appear on the invoice. You can select to include Not Billable time entries on an invoice as Not charged items with no amount set.

    Tick or untick Include Unbillable Time.

  5. Tick the appropriate checkboxes, if you'd like to apply TAX unconditionally when invoicing the listed payments.

  6. Click Save.

Layout

 

LEAP contains customizable Invoice Layouts which determine how billable items are presented on all styles of the Invoices. By default, you are provided with the Default layout. The Default layout can be modified, and you may also create new ones.

  1. Click Accounting > under Invoice > Layout.

    A list of your existing layouts will display under Invoice Layout.

  2. Click New.

  3. Enter a Name for the layout and select whether the new layout will be the default selection for your firm for new invoices.

    If this layout is not the default, it will appear as an option for you to select from a drop-down list when an invoice is created.

  4. Tick the Inc. Fee Summary checkbox if you want to include it in the invoice layout.

  5. Click Save.

  6. Sections are what constitute the entries on an invoice and places them into categories:

    • Time Entries
    • Expense Recoveries
    • Payment Items
    • Disbursement Journals
    • Anticipated Disbursements

    It's possible to group multiple categories into one section or have a separate section for each of the five categories listed above. To add a new section, click the new layout you just created.

    The Default section will appear under Manage.

    If you encounter the message "Warning: Sections may be missing some billable items. Please check the invoice layout has included allocations for all billable item types" while creating an invoice, it means that your invoice layout might not be configured to include all necessary billable items.

    To resolve this, navigate to LEAP Menu > Settings Application Settings Accounting Layout under Invoice, and ensure that your invoice layout includes all relevant billable item types, such as payment items.

  7. Click New Section or click the Default section to edit it.

  8. Name your section, i.e. Professional fees.

  9. Select the categories to be included in the section.

  10. Click Save.

  11. You have the ability to edit sections which allows you to choose the order of the section columns, and also which columns will appear in each section. To choose the order of columns or which columns will appear in the section, click the new section you just created the Default section.

    The columns will appear under Edit Columns for Section.

  12. Make your changes. You can make the following changes:

    • Rename the column title in the Title column.
    • Choose whether or not to display the column by toggling it on or off.
    • Choose the order of the column by drag and dropping the item up or down.
  13. Click Save.

To view your invoice layout, create a new invoice and select the appropriate Layout before you save the invoice.

 

You must save the invoice before generating a Word Tax Invoice. If you finalize a Word Tax Invoice, you can't change the invoice layout.

How to add columns to the Invoice Template

 

To add new columns such as billed hours and billable rate to your invoice template in LEAP, follow these steps:

  1. Click the LEAP Menu > Settings > Application Settings.

    The LEAP Application Settings will open in a new window.

  2. Click Accounting  and then choose Invoice > Layout.

    You’ll see a list of your existing Invoice Layouts.

  3. Select the invoice template, then click on the section you want to modify within the Manage Standard Layout area.

  4. In the Edit Column for Section, enable the categories you wish to include, such as billed hours and billable rate.

    Disabling the category will remove column from future invoices. 

  5. Click Save 

    Your updates will be reflected in any new invoices generated.

Notices

 

The Invoice Notice is a free text field that allows you to add your Firm's payment details or options, interest terms and any other details relevant to your firm. The notice will be added to the bottom of your invoices.

  1. Click Accounting > under Invoice > Notices.

  2. Click New Invoice Notice.

  3. You can choose whether the invoice notice you're creating is specific for a particular state or is a general notice that applies to all your invoices. You can only create one Invoice Notice per State.

  4. Enter the information you wish to appear on the invoice notice.

  5. Click Save.

You can also:

  • Change an invoice notice, select the notice from the table. Make your changes and click Save.
  • Delete an invoice notice, select the invoice from the table and click Delete. Confirm the deletion by clicking OK.

You can edit your Firm's payment details in the LEAP invoice template by navigating to the following two locations:

  1. Invoice Notice
    Navigate to LEAP Menu Settings Application Settings Accounting                                Scroll down to find Invoice Notices. Any information entered here will appear in the top right corner of your invoices.
  2. Custom Header in Firm Details
    Access this by going to LEAP Menu Settings Application Settings Firm Firm Details Contact Details. For more details on Custom Headers, please click here.
